Hotel Furniture Rollout — 150 Rooms in 30 Days

How EtnoWarehouse coordinated the import, warehousing, and installation of 150 rooms of FF&E for a Limassol hotel renovation — delivered before peak season.

The Challenge

A 5-star hotel in Limassol was undertaking a complete room renovation ahead of the peak summer season. With 150 rooms to furnish — including beds, wardrobes, desks, seating, soft furnishings, and bathroom fixtures — the hotel needed a logistics partner who could coordinate an international supply chain and deliver on an aggressive schedule.

The furniture was sourced from multiple manufacturers across Europe and Asia, arriving in separate container shipments over a 3-week window. The hotel had zero on-site storage capacity, meaning every delivery had to arrive exactly when needed — not a day early, not a day late.

The Solution

EtnoWarehouse designed a just-in-time logistics program with three phases:

Phase 1: Centralized Receiving (Days 1–10)

  • All incoming containers routed to our Limassol warehouse (within 15 km of the port)
  • Each item logged into Odoo ERP with real-time inventory tracking
  • Quality inspection upon arrival — 0 defects accepted
  • Items sorted by room number and installation priority

Phase 2: Kitting and Sequencing (Days 11–20)

  • Furniture and fixtures assembled into room kits (all items for Room 101 packed together)
  • Delivery sequencing optimized to match the contractor's renovation schedule (floor by floor)
  • Each kit labelled with QR code linking to digital installation guide

Phase 3: Just-in-Time Delivery (Days 21–30)

  • Daily deliveries synced with the on-site project manager's 48-hour look-ahead
  • EtnoWarehouse team assisted with unloading, staging, and basic assembly
  • Real-time adjustments: when the contractor fell ahead or behind schedule, delivery slots were re-sequenced same-day

— Hotel Project Manager, Limassol

Key Takeaways

  1. Proximity matters — Warehousing within 15 km of the port eliminated cross-island trucking and cut logistics time by 40%
  2. Real-time visibility — Odoo ERP integration meant the hotel's project manager could check inventory status from a phone without calling anyone
  3. Flexibility is a feature — Same-day re-sequencing capability absorbed contractor schedule changes without drama
  4. Quality at speed — Zero defects while delivering 5 rooms/day shows that fast doesn't mean careless
