Hotel Renovation Logistics — 1,200+ Items in 8 Weeks, Zero Delays

How EtnoWarehouse delivered 1,200+ furniture items for a full hotel renovation in Limassol — on time, damage-free, and ahead of schedule.

The Challenge

A luxury Limassol hotel embarked on a full property renovation: 120 guest rooms, 2 restaurants, a lobby, and a spa. Renovating while remaining partially operational meant tight coordination — no noise during guest hours, no blocked access for arriving guests, and no visible construction mess.

The FF&E (Furniture, Fixtures & Equipment) arrived in 18 containers from 6 different countries over a 5-week window. The hotel had minimal staging space and needed every item delivered to the correct floor at the exact moment the renovation crew was ready for it.

The Solution

EtnoWarehouse implemented a phased logistics orchestration plan:

Phase 1: Intake & Quality Control (Weeks 1–3)

  • 18 containers unloaded at our Limassol warehouse within 48 hours of port arrival
  • Every item inspected, photographed, and logged into Odoo ERP with location tracking
  • 14 items with minor damage identified and replacement orders triggered within 24 hours
  • Items sorted by installation phase: structural → MEP → finishes → FF&E

Phase 2: JIT Sequencing (Weeks 2–6)

  • Detailed installation schedule received from contractor, mapped to 15-minute delivery windows
  • Floor-by-floor kitting: all items for Floor 3 packed on pallets labelled by room number
  • 2-hour delivery windows scheduled 72 hours in advance, confirmed 24 hours before
  • Buffer stock held at our warehouse for last-minute replacements

Phase 3: White-Glove Installation Support (Weeks 5–8)

  • EtnoWarehouse team on-site daily for receiving, unpacking, and debris removal
  • Furniture assembly completed before the contractor's finishing crew arrived
  • All packaging materials recycled — zero waste to landfill

What Made the Difference

  1. Real-time coordination — A shared Odoo portal let the hotel, contractor, and our team see the same delivery schedule and make same-day adjustments without phone tag.
  2. Buffer inventory — Holding 5% overstock of all critical items at our warehouse meant a cracked vanity top at 10am was replaced by 2pm the same day.
  3. Container-level tracking — Every container was tracked from origin port to our warehouse to final delivery, giving the hotel 100% visibility on where their imported items were at any time.

Client Testimonial

"What impressed me most was the buffer stock strategy. When a marble vanity top arrived cracked, I assumed we'd lose a week. EtnoWarehouse had a replacement on-site within 4 hours. That kind of contingency planning is why we finished two weeks ahead of schedule."
